General Information
Production Time: Standard production time is 10 - 15 business days. Production begins the day after receipt of order, approved artwork & payment.
Exceptions: Calendars or orders requiring tooling or special production.
Contact us for production time on large quantity and offshore orders.
Rush Service: Contact us for availability and extra charges.
Re-Orders: Please specify the most recent P.O. Number or Invoice Number. Customer Purchase Orders are kept on file for 18 months.
Claims: All claims must be submitted in writing within 15 days of receipt of order.
Returns: Must be authorized by Professional Designs and have an RA (Return Authorization) number. No credit or replacement merchandise will be issued for product unavailable for return to factory. A 20% re-stocking fee may apply to returned blank merchandise.
Sample Policy: Random Samples are charged at end quantity cost of items, plus shipping.
Sample Loan Program: Return-for-credit billing is available for more expensive items. If returned in the same condition within 2 weeks, credit memo will be issued, less freight. Contact us for instructions.
PMS Match: $35.00 per color. PMS matching cannot be guaranteed on dark colored items, stainless steel, or ceramics.
Paper Proof: $7.50 per proof with catalog minimum order. Allow 5 working days. A paper proof will be sent at no charge on new orders over $1000. Any change not noted on original purchase order is subject to additional paper proof charge. PRODUCTION BEGINS AFTER RECEIPT OF WRITTEN APPROVAL OF PROOF.
Embroidery proof: Disk charge plus cost of item up to 5000 stitches, produced on cloth swatch. (See General Embroidery Information for Spec Sample). Allow 5 working days. $45.00 for modification to disc, plus an additional 2-3 days.
Imprint/Thread color: If imprint/thread color is not specified on order the factory will choose the closest match. Factory will not be held liable for any color we match.
Crystal Proof: Varies per item. Call for quote.
Item Proof: Varies per item. Call for quote.
Debossing or Engraving Proof: $50 per location plus end quantity price of item.
Absolute Minimum: Varies per item. Contact us for quote.
Copy Change: Add an additional Set-Up Charge per change. Must meet catalog minimums.
Split Shipments: $8.00 per additional location, plus freight.
Imprint Size: Unless specified, MAXIMUM imprint area will be used.
Terms: Payment in advance. All payments must be made in U.S. FUNDS. There is a $30.00 charge for each returned check.
Over/Under-runs: Plus or minus 7% and invoiced accordingly. Exact quantities will be shipped on embroidered merchandise, unless otherwise notified.
Cancellations: A surcharge of up to 15% may apply, plus the cost of all billable work done to date.
Liability Claims: All merchandise becomes the customer's property upon delivery to the carrier.
Shipping: If a via is not specified, factory will use own judgment in selecting carrier and method in order to meet your deadline.
Freight Charges: Any shipping weights shown in catalog are approximations only. Billed shipping weights for items packed in oversized boxes may vary greatly from actual shipping weight. Variances may occur from product density, packaging and dimensional shipping weight. Professional Designs is not responsible for differences in final freight charges versus quoted estimates.
Embroidery Information
Digitizing Artwork for Embroidery: $100; includes up to 7,000 stitches & 7 thread colors for all caps and visors and up to 5,000 stitches & 7 thread colors for all other embroidered items.
Additional Stitches: Add $25.00 digitizing charge per 1,000 stitches.

Small Orders: 1 & 2 pieces are billed as samples (see Sample Info). 3-5 pieces are billed at the 6 piece price, plus, $10.00.
Additional Thread Colors: $.30 per piece/per color/per location.
Thread Color Change: $30.00; 36 piece minimum.
Straight Line Copy: Stock lettering only; up to 7,000 stitches $25.00 Set-Up Charge.
Disc Editing: $45.00. Maximum reduction or enlargement of customer supplied tape shall not exceed 15% of original size.
Metallic Thread: $.20 per 1,000 stitches.
Contract Embroidery: Contact us.
Thread Color Match: $35.00 for any non-stock color thread. Professional Designs uses Madiera and Robison-Anton threads. Exact color matches may not be available. Allow up to 2 additional production days for non-stock colors. 72 piece minimums apply for special order thread colors.
Additional Location Embroidery: $2.50 run charge per location (includes up to 5,000 stitches and 7 thread colors). Add 3-5 additional production days for each additional imprint area. For designs exceeding 5,000 stitches, contact us.
Item Proof: Disc Charge plus cost of item. Item proof MUST be requested on Purchase Order. PRODUCTION TIME BEGINS AFTER RECEIPT OF WRITTEN PROOF APPROVAL.
Spec Sample: Disc Charge plus cost of item, plus $30.00.
Customer Supplied Discs: Must be in Tajima format and will be run as digitized. Professional Designs is not responsible for integrity of the disc or resulting poor quality of sewn product.
Artwork: Please submit clean camera-ready, art with your order.
Artwork Requirements
Camera-Ready Art: Imprint quality on your order depends upon the artwork supplied with it. To avoid delays and additional art charges, please supply clean camera-ready artwork. If additional artwork is needed, it will be billed at $35.00 per hour. Contact us for more information.
CAMERA-READY ART GUIDELINES
- Black & white line art on flat photographic paper.
- 600 dpi (or higher) laser prints, no smaller than actual size to be used.
- Glossy, fine grain paper works better than matte copier paper.
- Artwork for multi-color imprints MUST be sent in black & white, color-separated art with registration marks for each color.
- Always include a color composite.
DIGITAL ART REQUIREMENTS
Our Art Department uses PC computers. We cannot guarantee files sent from Mac formats will be usable. VECTOR art such as Illustrator or Freehand files provide superior reproduction quality and allow images to be re-sized without loss of sharpness or detail.
Unacceptable Artwork/Text Files: Faxes, copies of faxes, photocopies, photographs* , negatives or films that need to be reversed to positive, halftone art that needs to be resized, low resolution laser printed artwork of less than 600 dpi, letterhead, business cards, actual product or any other art that needs to be touched-up, color separated or made one color. Text files from word processing documents such as PowerPoint, Word Perfect or Window Metafiles cannot be used. Any art sent in above formats will be subject to re-creation by our artists.
For art re-creation, a charge of $35.00 per hour will apply.
* Note: Photographs ARE considered "Acceptable Media" for Transfer Process ONLY, (used on Mouse Pads). All artwork for "Transfer" imprint MUST have a 2" bleed area around the edges of the design. This extra 2" is deleted in the transfer process.
Acceptable Media: To expedite your order, artwork may be sent on a disc or diskette, or via E-mail. A printout of art should be included.
Halftones: ALL camera-ready art supplied with halftones should be "to-size" at 65 line screen. Due to the texture & properties of some surfaces, we cannot reproduce half-tones on all items.

Include Name, Contact, Phone Number, and Purchase Order Number with emailed artwork. A hard copy of artwork should accompany order by fax or mail.
Authorization & Indemnification: By placing an order with Professional Designs, you represent and warrant that you have the authority to order, purchase and/or distribute merchandise containing the names, trademarks, logos, copyrights, etc., identified and/or submitted with your order. You also agree to indemnify, defend and hold harmless Professional Designs, it's affiliates and representatives, from and against all claims, liabilities and expenses, (including attorney's fees), arising out of or related to an actual or alleged infringement or misappropriation of any trademark, copyright or any other proprietary right of such merchandise. This provision will remain in effect after delivery of your order.
